Event Management Specialist

We are looking for an individual who will provide event management and logistics support to the Learning, Deployment and Operations functions to ensure the execution of enterprise wide initiatives and other programs of work. This role will assist in the centralised coordination activity supporting the delivery of Global Learning programs.

Key Accountabilities

  • Event coordination of enterprise-wide programs including scheduling, attendance, room bookings, invitations, management of training rooms, and training kits
  • Receive and process event management & logistics requests from Learning, Deployment and Operations functions
  • Manage and maintain event management plans for each course and/or program
  • Produce detailed proposals for events, facilitate approval and develop plan
  • Communicate and ensure understanding of agreed project objectives with relevant parties
  • Responsible for managing events and ensuring deadlines and budgets are adhered to
  • Coordinating suppliers, handling client queries and troubleshooting to ensure that each event runs smoothly
  • Source appropriate venues, order materials, process invoices, schedule a facilitator, liaise with vendors or suppliers, book in participants, work in Workday to manage sessions/events and order catering
  • Perform various logistical activities to ensure customer experience and associated records management are maintained
  • Maintaining and using systems such as Workday, Meridian purchasing requests, training account management and training scheduling tool
  • Deliver customer-focused processes to support seamless logistical support between stakeholders, Learning, Deployment and Operations, internal and external customers/stakeholders
  • Contribute to continuous improvement opportunities of Event Management & Logistics processes
  • Advise participants if they need to book travel. Where appropriate, book and arrange travel
  • Directs coordination of activities to prepare for the day of the event
  • Ensure consistent application of general Telstra operating systems, policies and procedures
  • Establish and maintain effective working relationships with peer groups and key internal stakeholders
  • Utilises global process tools and templates for all work activity


  • Relevant business and/or industry experience across events management and global mobility
  • Strong systems, Workday and Excel skills is preferred
  • Strong knowledge of event management processes is highly beneficial
  • Proven experience in managing multiple tasks whilst maintaining attention to detail
  • Demonstrated ability to work under time pressure and with competing priorities
  • Strong written and verbal communication skills
  • Strong stakeholder engagement and project management skills
  • Flexible with work shift
